Approve Time Entries
Review time entries submitted by your workers and approve or reject them.
:::note The approval workflow feature must be enabled. Go to Admin → Settings and check that Approval workflow is on. If it is disabled, all entries are automatically considered approved. :::
View pending entries
The admin dashboard shows a count of pending entries and displays them directly in a table below the summary cards. No navigation is needed — scroll down to see the list.
To view all entries (including approved and rejected), go to Admin → Overview.
Approve or reject an individual entry
- Click any row in the pending entries table to open the entry detail view.
- Review the details: worker, date, start/end time, duration, project, task, and comment.
- Click Approve to accept, or Reject to decline.
Approved entries are locked — workers can no longer edit them. Rejected entries remain visible to the worker with a rejected indicator.
Approve all entries for a worker
Each worker's entries are grouped together in the table. To approve all of them at once:
- Find the worker's group header row.
- Click Approuver tout on the right side of that row.
All entries for that worker are approved in one action.
Bulk approve or reject across workers
- Use the checkboxes in the table to select individual entries, or use the header checkbox to select all visible entries.
- The Rejeter (N) and Approuver (N) buttons at the top of the table show the current selection count.
- Click the appropriate button to apply the action to all selected entries.
Filter entries on the Overview page
The Overview page (/admin/overview) has an inline filter bar for narrowing the entry list:
- Period mode — switch between Année, Mois, and Période (custom date range).
- Worker — show entries for a specific worker only.
- Project — show entries for a specific project only.
- Status — filter by
pending,approved, orrejected.
The total entry count and total hours update automatically as you change filters.
Export entries
To export entries to Excel for payroll or reporting:
- On the Overview page, apply the filters you want (period, worker, project, status).
- Click Export.
- The file downloads automatically as an
.xlsxfile containing all matching entries.
The export uses the same filters as the current view and includes all entries — not just those visible on screen.
Export payroll variables
To download the monthly payroll variables, use the Export paie button on the Overview page:
- Click Export paie in the toolbar.
- Pick the month, then click Télécharger.
The file (Paie-YYYY-MM.xlsx) contains one row per worker with:
- Heures — total hours worked in the month.
- Jours travaillés (paniers) — number of days with logged time (one panier repas per worked day).
- HS 25% (36-43h) and HS 50% (43h+) — weekly overtime hours: beyond 35h/week up to 43h at 25%, beyond 43h at 50%. A week counts toward the month its Sunday falls in.
- Zone N (jours) — one column per travel zone, counting worked days per zone (the highest zone of the day when a worker visits several sites). Only included when the Zones feature is enabled.
Rejected entries are excluded from the payroll export.
Days and weeks are counted in the workspace's timezone (Europe/Paris by default), not the server's — so an entry logged as "Monday" always counts on Monday, whatever timezone the server runs in.
