Upload an Invoice
Submit a paper or digital invoice — for materials, fuel, tools, or any other work-related expense.
Steps
- Tap Invoices in the navigation bar
- Tap + or New invoice
- Tap the camera icon to take a photo, or choose an existing photo from your library
- Fill in any required details (your admin may have configured required fields)
- Tap Save
Your invoice is uploaded and sent for automatic processing. The system will read the amounts and date from the image within a minute or so.
Tips for a good photo
A clear photo leads to better automatic data extraction:
- Good lighting — avoid shadows across the invoice
- Flat surface — lay the invoice flat before photographing it
- Full document — make sure all four edges of the invoice are visible in the frame
- Steady — hold the phone still to avoid blur
What happens next
After you upload, the invoice status shows as processing while the system reads the data. When it changes to processed, the amounts and date have been filled in automatically.
Your admin will then review the invoice, verify the extracted data, and link it to a project if needed.
Supported file types
The app accepts photos (JPEG, PNG) and PDF files. For best OCR results, upload a photo rather than a scanned PDF.
My invoice has an error status
If the automatic processing fails, the invoice shows an error status. This doesn't mean the invoice is lost — the original file is safely stored. Your admin will manually fill in the details.
If this happens frequently, try taking higher-quality photos.
